WhatsApp Business App vs WhatsApp Business API: which one do you need?
12 October 2026 · 2 min read · BTAV Connect team
Most Indian businesses start with the free WhatsApp Business App on one phone. It works well until enquiries grow, more people need to reply, or you want to message hundreds of customers at once. That is when the WhatsApp Business API (officially, the WhatsApp Business Platform) comes in.
Side-by-side comparison
| WhatsApp Business App | WhatsApp Business API | |
|---|---|---|
| Cost | Free | Platform fee + Meta message charges |
| Who can reply | One phone (plus a few linked devices) | Your whole team, from a shared inbox |
| Broadcasts | Up to 256 contacts per list, who must have saved your number | Campaigns to any opted-in customer, using approved templates |
| Chatbots | Greeting and away messages only | Full chatbots with menus, buttons and AI answers |
| Integrations | None | Website widget, CRM, e-commerce and your own systems |
| Analytics | Basic message stats | Delivery, read and reply tracking per campaign |
| Verified badge | Meta Verified subscription | Eligible for verification as an official business |
Signs you have outgrown the app
- Customers wait hours for a reply because one person handles the phone.
- You share one phone between staff, or ask staff to use their personal WhatsApp.
- The same questions (price, timings, location, fees) take up most of the day.
- You want to send offers or reminders to more than a few hundred customers.
- You need to know which staff member answered what, and how fast.
What changes when you move to the API
Your number moves from the phone app to the cloud, and your team answers from a web dashboard instead. Customers keep chatting with the same number. You can no longer use that number in the WhatsApp Business App at the same time, so plan the switch for a quiet hour.
Messages you start (outside the 24-hour reply window) must use templates approved by Meta. Templates are quick to create, and approval usually takes minutes to a few hours.
